The following is a general privacy policy for the alumni network at the Faculty of Educational Sciences, University of Oslo – hereinafter referred to as “the faculty”.
The Faculty aims to establish and further develop an alumni network to maintain and strengthen its relationship with former students after graduation. Our alumni are an important resource for the Faculty, and the alumni network will help foster collaboration and the exchange of experience between current students, alumni, and relevant partners in the employment and professional sectors.
What is a privacy policy?
To be able to administer and develop the alumni network, and to offer alumni a professional network, invitations to relevant events, academic updates, and information about further education, the Faculty processes personal data about former students. We are committed to protecting your personal data and being transparent about the information we store. This privacy policy explains what personal data we process, for what purposes, and what rights you have in connection with this processing.
What is considered personal data?
Personal data is any type of data, information, details, or assessments that can be linked to you as an individual. The decisive factor in determining whether something is personal data is whether it can be used to identify a specific person.
Information that cannot on its own be linked to an individual may, in combination with other data, constitute personal data.
Controller (Data Controller)
The University of Oslo is the data controller for the processing of personal data in the Faculty’s alumni network databases, pursuant to the General Data Protection Regulation (GDPR).
Purpose of the processing
Your personal data in the alumni network database is processed for a range of mutual purposes that strengthen the relationship between you and the Faculty.
This is done through tailored communication and relevant information. For example, processing personal data in the alumni network database is necessary in order for the alumni network to contact you regarding:
- general membership information
- invitations to academic events
- offers of continuing and further education
- newsletters
- invitations to social and cultural events organised by the alumni network and/or relevant academic environments and their partners
- requests to participate in working groups and panels
- requests for collaboration
- requests to take part in surveys
If you have any questions about these purposes, or feedback on how we communicate with you, please email uv-alumni@uv.uio.no.
Which personal data do we process?
We store information about you from several sources. A significant part of the information we hold about our alumni is data you provide yourself when registering in the alumni network.
When you join an alumni network, some of your personal data from UiO’s student registry (FS) may be transferred to the alumni network database. This may include: name, degree/subject, email address, and year of graduation. All other personal data is provided by you when you register.
The alumni network database contains:
- First name
- Last name
- Email address
- Study programme
- Employment status
- Job title
- Employer
- Country
The membership information is not public.
How long do we store your personal data?
We retain your personal data in the alumni network database unless you ask us to do otherwise. When you unsubscribe, your personal data will be deleted.
How do we protect your data?
Your personal data will only be used by the alumni network and will not be sold or transferred to any third party, unless otherwise required by law.
We do not share personal contact details without prior consent.
The University of Oslo (UiO) has a Data Protection Officer who safeguards the privacy interests of students, staff, and alumni at UiO. The Data Protection Officer at UiO can be contacted by email at: personvernombud@uio.no
Legal basis for the processing
Article 6(f) of the General Data Protection Regulation (GDPR) states that the processing of personal data may take place when it is necessary for the purposes of the legitimate interests pursued by the controller, except where such interests are overridden by the interests or fundamental rights and freedoms of the data subject.
In order to strengthen our education, research, and reputation, the Faculty has a legitimate interest in maintaining links with its alumni. In turn, contact with the Faculty’s alumni network helps to strengthen alumni careers and professional development. The cooperation is intended to be mutually beneficial. The Faculty is not able to systematically maintain the relationship between the University and its former students without offering them membership in an alumni network.
The personal data used in the alumni network database is not of a sensitive nature. Most of the personal data we hold about you was provided by you when you registered. In these cases, the legal basis for processing is your explicit consent, pursuant to Article 6(a) of the GDPR. This also means that you may withdraw or change your consent at any time by sending an email to uv-alumni@uv.uio.no.

We always handle your personal data securely, and the use of your personal data in our work should not cause you any disadvantage. It is voluntary to provide us with your personal data.
You have the right to:
