What is TSD?
TSD (Services for Sensitive Data) is, quite simply, a Windows workspace you can log in to in order to work with RED or BLACK data (UiO’s data classification: RED = highly sensitive personal data; BLACK = strictly confidential). It includes Excel, Word, statistical software, and many other applications.
Can I get access to ISP’s TSD project?
- Before you can request access to our TSD project, you must classify the personal data you plan to collect for your project. Familiarise yourself with the information on the page Data protection in student projects.
- Students who will collect personal data classified as RED data may apply for access to our TSD project. Whether it is necessary to store your data in TSD must be assessed together with your supervisor. If you are unsure, your supervisor can consult the data protection contact at ISP at personvernkontakt@isp.uio.no. You and your supervisor’s agreement that you need access to our TSD project must be confirmed in writing when you apply for access.
- In some cases, you can borrow a UiO-managed laptop from the Oslo SPeLL Lab, which is also approved for RED data. In that case, you may not need TSD. Consult the Oslo SPeLL Lab about availability before you decide (oslospell@isp.uio.no).
- Note that you must state how and where personal data will be stored when you notify your project to Data Protection Services at Sikt (formerly NSD). Before you notify your project to Data Protection Services at Sikt, we recommend that you read items 1–4 further down this page and consider which technical solutions (e.g. for digital consent) you will need to report to Sikt.
- Note! In the consent form for your participants and in the application to Sikt: write that data are processed/stored on UiO systems approved for RED data. This is better than naming a specific storage location such as TSD or a UiO-managed laptop.
- You can apply for access to ISP’s TSD project while waiting for approval from Data Protection Services at Sikt, but you must wait to start data collection until you have received that approval.
How do I apply for access to ISP’s TSD project?
- See the guidance here and follow the instructions.
ISP’s TSD project is p715. When you apply using the link above, you must enter project code: p715. Use your UiO username and email. - Send an email to oslospell-ingenior@isp.uio.no after you have applied, so they can approve you. In the email, state who your supervisor is and confirm that you and your supervisor have assessed and agreed that it is necessary to store your data in TSD.
Wait for approval. This may take a few days.
How do I log in to TSD?
- Once you have received email confirmation from ISP that your access has been approved, you can begin with the steps below to log in to TSD:
- If you have not already done so, set up Google Authenticator (one-time setup):
- Install the Google Authenticator app on your phone.
- Go to https://selfservice.tsd.usit.no/
- Click Change your OTP.
- Click Log In Via ID-porten (Norway’s national secure login).
- Scan the QR code using Google Authenticator on your phone.
- If you have not already done so, set up your TSD password (one-time setup):
- Go to https://selfservice.tsd.usit.no/
- Click Change password.
- Click Log In Via ID-porten.
- Follow the instructions to set your TSD password.
- Wait 25 minutes.
- Go to https://view.tsd.usit.no/portal/webclient/index.html and log in using your new password and the Google Authenticator code. Your username will look like
p715-abcdefg. - For smoother video and audio playback, you should install Omnissa to log in to TSD instead of using the web browser login above. See about Omnissa here and about TSD Omnissa here. (Omnissa Horizon Client.)
- Follow this guide to learn how to import and export data.
- If you need help with general login or use of TSD, UiO Helpdesk can provide guidance via phone or Zoom: UiO Helpdesk. Please inform them that this concerns ISP’s TSD project for master’s students (p715), and feel free to refer them to this page.
- After logging in to TSD, check that the “Network locations” home and data are visible. Open File Explorer (the yellow folder icon on the desktop taskbar) and look under “Network locations”. You should see folders “home (M:)” and “data (N:)”. If they are not visible, wait about 10 minutes to see if they appear automatically. It is normal to wait a little for these to appear each time you log in to TSD. (M: and N: are mapped network drives.)
- Do you need to use the SPSS statistics program? Send an email to tsd-drift@usit.uio.no and cc oslospell-ingenior@isp.uio.no and master@isp.uio.no. State that you wish to activate an SPSS licence for your TSD user on project p715, include your UiO username, and that you have been granted permission to use SPSS by the project administrators on p715 (who are cc’d).
After you have been granted access to ISP’s TSD project by following the steps above, the next step is to register our questionnaire below with additional information about your project
We need, among other things, information about Data Protection Services at Sikt and, if applicable, REK (Regional Committees for Medical and Health Research Ethics). Therefore, you must wait to register the questionnaire until you have this. In addition, you must have clarified the following in advance:
1) How will you collect data?
Will you use any of the following methods?
- Nettskjema delivering directly to TSD (Nettskjema is UiO’s webform tool) — for example, for surveys with sensitive personal data. Remember to connect to project p715. Go to “Collect Responses” and click “Open form”.
- Nettskjema Dictaphone app delivering directly to TSD. If you plan to use the Nettskjema Dictaphone app and store data in TSD, follow the instructions at the link. Remember to connect to project p715. Go to “Collect Responses” and click “Open form”.
These webforms must be created before you register the questionnaire with additional information about your project, so that we can obtain the form ID/link for all TSD-integrated forms you use. The forms do not need to be fully finalised; we only need the form ID/link at registration. You can make changes later. You can create Nettskjema forms easily at Nettskjema’s website. Experiment and try things out. Contact UiO Helpdesk if you need assistance.
The Oslo SPeLL Lab also has a limited number of regular dictaphones that can be used to collect data — including RED data if Sikt approves this. Inform Sikt that the dictaphones can be configured with a PIN code and optional encryption of audio files for additional security. However, encryption requires special software, so it is most practical if Sikt approves using only the PIN code function — but this is up to Sikt.
2) Do you need to obtain consent? How will you do this, and where will you store the consents?
How you collect and store consent may affect your notification form to Data Protection Services at Sikt.
Below are suggested options for storing digital consent for projects with RED data. If you are uncertain about digital consent, your supervisor can consult the data protection contact at ISP at personvern@isp.uio.no for advice.
- Consent checkbox (“I consent”) as part of a survey/Nettskjema that delivers data to TSD.
Suitable for projects that only process personal data from questionnaires, but with RED data. YELLOW and GREEN data do not need to be delivered to TSD. Remember that anonymous data/forms do not require consent. (UiO classification: YELLOW = moderately sensitive; GREEN = non-sensitive.) - A separate consent form using Nettskjema’s digital signing with BankID/MinID, delivering responses to TSD.
This provides more secure identification of the respondent (signing via ID-porten, high assurance) and is suitable for particularly sensitive data, collection of registry information, or other comprehensive consents. For pure survey projects or interview/transcription projects, this solution is not recommended. Each consent costs the institute NOK 2.50, therefore there is a limit of about 50 consents per master’s project (contact master@isp.uio.no and inform us of the approximate number of respondents if you want this method). When signing with BankID/MinID, participants’ national identity numbers are registered; thus, you must also include this in your Sikt notification and in the information to participants. This method is usually not required for Masters projects. - A video or audio recording where consent is explicitly given.
Suitable for projects where you interview the participant and only research what is said (e.g., transcribe the conversation or analyse the recording). The information sheet can be sent in advance, and the participant can consent at the beginning of the interview recording. This can be done, for example, via Zoom interviews (see below for guidance on using Zoom with RED data and TSD). - A scanned, signed document.
Should be stored in TSD if the consent relates to processing RED data. - Paper document
Stored in a safe location. Ask SIKT for approval of this method.
3) Do you need to share access to data with fellow students or your supervisor?
Often, supervisors do not need direct access to the sensitive raw data you work with and can manage with anonymised data that you share outside TSD. If, however, you will share or collaborate on your raw data inside TSD with fellow students or supervisors, you must inform us about this in the TSD registration/questionnaire. Consult your supervisor if needed.
If more than one person needs access to the data in TSD: ensure that everyone who should have access has applied for and been granted access to the master’s students’ storage area in TSD, as explained on this page, before you submit the registration/questionnaire.
4) When can we delete the data you have stored in TSD?
You must also inform us when we can delete your data in TSD.
By exception — for example, health research projects (REK) — you must archive your data long-term, usually for five years after project end. Consult your supervisor if needed about deletion and archiving dates.
Register the questionnaire with additional information about your project
Once you have clarified the points above, you can submit the questionnaire by clicking the button below. If several students will collaborate on the same data, it is sufficient for one of you to register the project.
Register the questionnaire with additional information about your project (or make changes)
You can update the information you have registered later if anything changes.
User guides for TSD
This is required for all your Nettskjema forms connected to TSD:
Embedded media player (recording).
General training video about RED data, etc.
Which folder should I use in TSD, where do my TSD–Nettskjema data end up, and how can I import and export data?
- You can use the TSD Data Portal to import data files into the TSD storage area (p715). Your username is
p715-xxxxx(wherexxxxxis your UiO username). You must ask us for permissions before you can use the export function (master@isp.uio.no). - If you will work alone and do not have any TSD–Nettskjema forms, you can work in your personal folder at
N:\home\p715-xxxxx(wherexxxxxis your UiO username). If you use TSD–Nettskjema solutions, see the next item on where to find your data. - If you will collaborate with others, or if someone else (e.g., your supervisor) also needs access to your data in TSD, you will be assigned a shared folder at
N:\data\durable\prosjektgruppexxx(wherexxxis replaced by a number). We will inform you of the folder name after you submit the webform. In such projects, all data should normally be stored in this folder. - If you use any TSD–Nettskjema solutions (surveys, dictaphone, consent forms), you will also be assigned a
prosjektgruppexxxfolder as above, and you can find your forms there. In such projects, all data should normally be stored in this folder.
Playback of Nettskjema Dictaphone files (m4a/mp4a)
- Audio recordings from the Nettskjema Dictaphone app are in
.m4a/.mp4aformat. You can open them in VLC: double-click the file → “More options” → “VLC Media Player”. For transcription, try opening the files directly in NVivo or f4transcript by dragging the files into f4transcript/NVivo.
How can I use Zoom for interviews in projects with YELLOW or RED data using my own laptop, and how do I store the interview recordings in TSD?
(If you borrow a UiO- or Oslo SPeLL-managed laptop, follow this instruction instead: https://www.uio.no/tjenester/it/sikkerhet/lsis/tillegg/rutiner/bruk-av-zoom-for-rode-data.html)
This routine has formal approval from the Chief Information Security Officer (Espen Grøndahl by email 01.03.2021) and from behandlingsansvarlig@uio.no to use Zoom from home for RED interviews. In short, it involves logging into a specific type of remote desktop (UiO Windows Desktop), opening Zoom within that session, and uploading the interview to TSD afterwards.
- Ensure you follow the UiO routine for using Zoom with RED data.
- YELLOW data do not require TSD access/storage and can, for example, be stored on your home area (the M: drive). Follow the storage guide.
- If you do not have stable internet at home, do not have a computer with camera and microphone, or for other reasons do not wish to conduct Zoom interviews from home, you can book time at the ISP lab between 09:00–16:00 and use a PC there. You must also arrange by email with learning-lab@isp.uio.no so we can let you in.
- If you have stable internet at home and a computer with camera and microphone, you can conduct the interview from home by following the instructions below. For RED data, this requires that you already have TSD access and have logged in to TSD at least once. For YELLOW data, you can store on the M: drive (explained below). Note! Practise several times and check that you can get test audio/video files onto TSD/M: before conducting real interviews.
- Go to view.uio.no and log in with your UiO username and password.
- Click the button labelled “UiO Windows Desktop” (not the others).
- A Windows desktop session will appear. Start Zoom here by searching for Zoom in “Type here to search”.
- Click “Sign In” and then “Sign In with SSO”.
- Enter uio and click Continue.
- Enter your UiO username and password. Click “Open” or “Launch Zoom” in the next window.
- You should now be signed in to Zoom within “UiO Windows Desktop”.
- Configure Zoom recording settings (do this each time):
- Click the settings cog (top right in Zoom).
- Click “Recording”.
- Under “Store my recording at”, click “Change”.
- For RED data: Click “Windows (C:)”, then Users, then your UiO username. Click OK. Note: Anything you save under “Windows (C:)” will be deleted when you log out of “UiO Windows Desktop”. Therefore, it is important to upload the recording to TSD immediately after the Zoom interview (instructions below).
- For YELLOW data: Choose a location on your home area (M:). The recording will be stored there permanently.
- Tick “Keep temporary recording files”. Other settings are not important.
- Close the Settings window.
- Start the Zoom meeting you scheduled: click “Join” and enter the meeting ID/password, or click “Meetings” at the top and select your scheduled meeting.
- Your browser will request permission to use the camera and microphone. Allow this.
- Video may be slightly blurry, but audio is usually fine.
- Start recording by clicking “Record”. Obtain verbal consent from the participant if relevant.
- End the recording by clicking “End” and “End for all”.
- Zoom needs time to process the recording. Wait until it finishes.
- When your files are ready, they appear in a folder named something like: “2021-01-28 23.37.52 jan jansens’s zoom meeting 65225298385”. The video will be “zoom_0.mp4”, and the audio-only file will be “audio_only.m4a”.
- For YELLOW data: Your recording is now stored permanently on the home area/M: drive. Test playback. If everything is OK, you can log out of “UiO Windows Desktop” by closing the browser window. You can later access the files on M: again by going to view.uio.no and logging in with your UiO username and password.
- For RED data: The next step is to import the recording to TSD. Open a browser (Chrome or Edge) inside the remote session (not your own computer’s browser), e.g., by typing “Chrome” in “Type here to search”, and go to data.tsd.usit.no.
- Click “Import Files”.
- Log in with your TSD credentials and Google Authenticator code.
- Click “Browse files”, navigate to “Windows (C:)” → Users → your UiO username → the Zoom folder containing the recording, and select the file(s) you want.
- Under “Group” select the group with your UiO username. If you share data with others, select “p715-prosjektgruppexxx-group” (where xxx is your assigned number).
- Select additional files if needed (“Browse files”) and set the correct group again.
- Click “Upload”.
- The status should show “Uploaded”. You can now log in to TSD (do this from your own PC’s browser/Omnissa) and find your files under
N:\data\durable\file-import\xxxxx(where xxxxx is your username or project group). Copy the file into either your personal folder or your project-group folder. - Test that audio/video are OK. If everything is OK, you can log out of “UiO Windows Desktop” by closing the browser window.
